The 24-Hour Window & Message Templates, Explained for Business Owners
If you have ever wondered why a WhatsApp Business message sometimes "just doesn't send", the answer is almost always one of two rules: the 24-hour window and message templates. Get these right and your messaging becomes predictable.
The 24-hour customer service window
When a customer messages you, a 24-hour window opens. During it you can reply freely — any text, image, or media, as many messages as you need. It is meant for real, back-and-forth conversation.
- The window resets every time the customer sends a new message
- Inside it: send whatever you like (free-form)
- Outside it: you cannot send free text — only an approved template
This is why a free-text drip sent two days after someone last messaged silently fails: the window has closed.
Message templates
To message a customer outside the 24-hour window — an order update, an offer, a reminder — you must use a pre-approved template. Meta reviews templates to prevent spam.
- Categories: Utility (order/appointment updates), Marketing (offers, launches), Authentication (OTPs)
- Templates can include variables (
{{name}},{{order_id}}), buttons, media headers, and even carousels - Approval usually takes minutes to a few hours
Rule of thumb: inside 24 hours → free text; outside 24 hours → template.
What this means for your automations
This is the single most common reason broadcasts and drip sequences underperform:
- A broadcast to a cold list must be a template — free text will be rejected for everyone outside the window.
- A sequence step scheduled for day 3 must be a template, because the window has almost certainly lapsed.
- A chatbot reply to someone messaging you right now can be free text — the window is open.
Make the platform handle it
You should not have to track windows in your head. WaYantra checks the window at send time and, for free-text sends outside it, warns you up front and records a clear reason instead of a silent failure — while approved templates go out to everyone. It also helps you create and submit templates (including carousels) for approval. See how it works.
