How to Get WhatsApp Business API Access: A Step-by-Step Setup Guide

Getting on the WhatsApp Business API sounds technical, but for most businesses it is a short, guided process. Here is what you actually need and the order it happens in.

What you need before you start

  • A phone number that is not currently active on the WhatsApp or WhatsApp Business app. (You can delete WhatsApp from that number to free it, or use a fresh number.)
  • A Facebook / Meta Business account for your business.
  • Basic business details for verification (legal name, address, website).

The steps

  1. Pick a platform. The API is infrastructure — you access it through a provider that gives you the inbox, automation and CRM. (More on choosing: platform comparison.)
  2. Connect your number via Meta's Embedded Signup — a guided popup where you log in with your Business account, pick or create the WhatsApp Business Account (WABA), and attach the number. This is the fast path (about ten minutes).
  3. Verify your business in Meta Business Manager if prompted. Business verification unlocks higher messaging limits and is worth doing early. (It is separate from the green tick.)
  4. Register the number for sending — a one-time step (with a 6-digit PIN) that enables outbound messaging on the Cloud API.
  5. Set your display name and profile — logo, description, hours. Customers see this, so make it complete.

After you're live

  • Create a few message templates for proactive messages and get them approved.
  • Import or start collecting contacts (opt-in only).
  • Turn on a chatbot for instant replies and a welcome/away message.

Common gotchas

  • The number is stuck on the WhatsApp app. Delete the WhatsApp/Business app account on that number first, then connect.
  • Skipping business verification. You can start without it, but do it early to raise limits.
  • Expecting the green tick immediately. That is a separate, discretionary badge — being on the API doesn't grant it.

The easy path

A good platform handles the technical bits and walks you through the popup. WaYantra connects your number on the official Cloud API via Embedded Signup (or manually with an access token), guides registration, and gets you sending in about ten minutes. Start your free trial.
